Who we are

Efficient Energy Systems Ltd, trading as Energy Giants (company number 17329387, registered in England and Wales), operates the website energygiants.co.uk and is responsible for your personal data (the data controller). We're based at The Former Ambulance Station, Princess Ave, Clitheroe, Lancashire BB7 2AL, and you can reach us at hello@energygiants.co.uk or 01200 407790. This policy explains how we collect, use and protect your personal information when you visit our website, contact us or have work done by us.

What we collect

We collect personal data in several ways. When you contact us through our website, email, phone or in person, we collect information such as your name, email address, phone number, postal address and details about your property and energy needs. This helps us respond to your enquiries, provide quotes for solar panels, heat pumps, insulation and other retrofit services, and schedule surveys or installations.

The forms on this website include our quote and contact forms, our newsletter sign-up and the song suggestion form on our Songs about power page. A song suggestion asks for a track and an artist. Your name and email address are optional.

When we carry out work for you, we also keep installation records, photos of the work and compliance paperwork, which certification bodies and auditors may ask to see.

We also automatically collect technical data about your visits to our website, including your IP address, browser type, pages visited and how long you spend on them. This helps us understand how people use our site and improve our services.

We use cookies and similar tracking technologies to remember your preferences and analyse website performance. Analytics and advertising cookies (Google Analytics and the Meta Pixel) only run if you accept them in our cookie banner. Our cookie policy is at energygiants.co.uk/cookies.

Website chat and AI

The chat on our website is answered by Zoe, our AI assistant. The chat service is provided by MessageMind, which processes what you type, and any contact details you choose to give, on our behalf so that Zoe can answer your questions and pass your enquiry to our team. MessageMind is based in the United States, so your chat may be processed outside the UK. Zoe does not make decisions about you: prices, surveys, suitability and funding are always decided by a person. Please do not share bank or card details in the chat. We keep chat enquiries in the same way as other enquiries, as described below.

We also use AI tools to help draft some of our articles; this does not use your personal data. You can read more about how we use AI at energygiants.co.uk/how-we-use-ai.

Why we use it, and our lawful basis

We collect this information because we need it to run our business. Your contact details allow us to communicate with you about quotes, bookings, installations and after-sales support. Property information helps us assess suitability for services like solar installations or heat pump retrofits. Website usage data helps us optimise our digital presence and marketing efforts to reach people interested in energy efficiency upgrades.

The law requires a lawful basis for each use of your data. These are ours:

• Answering enquiries, preparing quotes and booking surveys: to take steps you have asked for before entering into a contract with you.

• Carrying out your installation, aftercare, guarantees and warranty claims: to perform our contract with you, and to meet our legal obligations and the requirements of the certification schemes we work under, such as keeping records and photos of the work.

• Reading and replying to song suggestions and general messages, and answering website chats: our legitimate interest in running our website and replying to people who contact us.

• Marketing emails, including our newsletter: your consent, which you give by subscribing or by ticking an unticked box on a form. You can withdraw it at any time.

• Analytics and advertising cookies: your consent, given in our cookie banner.

• Measuring our advertising: our legitimate interest in knowing which of our adverts work (see the next section).

Measuring our advertising with Meta

When you send any form on this website, our website platform tells Meta (the company behind Facebook and Instagram) that a form was sent, so we can see which of our adverts lead to enquiries. This record is sent from our web server and may include your email address or phone number in a scrambled (hashed) form, which Meta uses to match it to a Meta account. You can object to this, as explained under Your rights.

Marketing emails

We send marketing emails about solar, battery storage, insulation and related offers only to people who have opted in, or, where the law allows, to customers and people who have asked us for a quote, about similar products and services. Sending us a song suggestion does not sign you up for anything. Every marketing email gives you a way to unsubscribe, or you can email hello@energygiants.co.uk. We keep a record of what you agreed to and when.

How long we keep it

We keep your personal data for as long as it's necessary. For active customers, we retain installation records, warranties and service history for the duration of your contract and beyond as needed for maintenance and support. For enquiries that don't proceed, we typically keep your information for two years. Song suggestions are kept for up to 12 months. If you opted in to marketing emails, we keep your email address for that until you unsubscribe; after that we keep it only on a do-not-contact list, so that we don't email you again. Technical website data is usually retained for up to one year. If you ask us to delete your data, we'll do so unless we're required to keep it for legal or business reasons.

If we add a suggested song to our list, we show the song and the artist, never your name.

Who we share it with

We don't sell your personal data to third parties. However, we may share information with contractors, subcontractors and suppliers who help deliver your installation or services, such as electricians, plumbers or roofing specialists. We may also share data with government bodies or energy scheme administrators if you're applying for support like the Boiler Upgrade Scheme or other retrofit funding.

We use trusted service providers who process data on our behalf and are required to protect it: our website host and platform (Freedom Host), our email and office systems, our customer records system, our website chat provider (MessageMind), Google for website analytics, Meta for advertising measurement, and the providers who process payments.

Some of these providers are based in, or process data in, the United States. Where that happens, the transfer is protected by the safeguards UK law requires, such as the UK-US data bridge or the UK International Data Transfer Addendum.

Your rights

You have rights over your personal data. You can request access to the information we hold about you, ask us to correct inaccuracies, request deletion where appropriate, ask us to restrict how we use it, or ask for a portable copy in a common format. You can object to any use of your data that relies on our legitimate interests, including advertising measurement, and you can stop marketing emails at any time. Where we rely on your consent, you can withdraw it at any time; this does not affect anything we did before you withdrew it.
